Personal Information

Personal information is collected by Sussex Woodsman in order for our customers to purchase products from our Online Shop or for booking a course, we have a legal responsibility to treat the data with respect and to hold the data securely.

Personal data must be:

  • Fairly and lawfully processed

  • Processed for limited purposes

  • Adequate and relevant and limited to what is necessary

  • Adequate and where necessary up to date

  • Not kept in a way that people can be identified from it for longer than is necessary

  • Processed in a way that ensures appropriate security

 

The personal data we hold is :

  • Name

  • Address

  • Email

  • Telephone Number/s

  • Medical details (Only in the case of illness or accident requiring professional medical attention)

All medical information is treated in strictest confidence and will only be divulged to authorised medical authorities should the need for professional medical treatment be required, customers have the option not to divulge medical details if they so wish and provision for this is given on the Medical Consent Form on the understanding that it may effect the treatment they receive by authorised medical authorities. Medical consent forms are returned to the customer upon the successful completion of their course, except, where they have been been used in the provision of professional medical care or treatment.

Customer information is entered as part of the order/booking process and is used for the shipping of orders and/or for the sending of course information or to advise customers of changes/cancellations to their order or course, phone numbers are only used to advise customers of immediate changes to their course/order by voice or text, where the sending of an email would leave insufficient time for the customer to respond to changes or cancellations, ie a course cancellation due to instructor incapacity, dangerous weather or circumstances beyond our control. Email addresses are used to send order and course booking confirmations and details. Order tracking information will be sent via email for UK orders sent by Courier and/or Royal Mail Tracked services, tracking information is also entered into the PayPal website in order to satisfy their terms for Buyer & Seller protection, PayPal under their privacy terms & conditions will send the buyer an email confirming the shipping status of the order.

We do not collect IP addresses or browser information, our website does not retain any personal information or use tracking cookies, we do not operate a mailing list.

We do not use your details for any form of marketing, mass or otherwise nor will we pass or sell them to third parties for such purposes. we may disclose your personal information to third parties if we are required to do so by law in connection with any legal proceedings or prospective legal proceedings.

We do not accept electronic copies of our booking and consent forms, original copies are required in all instances - no exceptions, a hard copy of your booking form is retained on file for the UK statutory time limit for the retention of records, where consent has been received.

Online Ordering / Electronic Payments

We use PayPal for our online shop and to accept electronic payments, we also accept direct bank transfer of funds to our bank account. Your order details are kept electronically by PayPal and are subject to their terms and conditions of use and privacy policy. If you prefer not to submit an order electronically, then a hard copy order form is available for your use as a download from our website. A copy of your electronic order is kept by us for one calendar year, after which time the record is deleted, a hard copy of your order along with proof of shipment is kept on file for the UK statutory time limit for retention of records, Hard copy records are not accessible to anyone outside of Sussex Woodsman, but may be passed to law enforcement agencies if we are required to do so by law. Paper records are destroyed by shredding and/or fire.

Third Party Websites

Our website contains links to third party websites such as PayPal, YouTube, Facebook and Instagram, if you follow a link to any of these websites as part of the ordering process or to view content such as video and photographs that are held by these websites, then please be aware that these websites have their own privacy polices and that we do not accept any liability or responsibility for the polices operated by these websites.  Please check their privacy polices before you submit personal information to any third party website.

We use Google Analytics to monitor traffic and trends to/on our website, this service does not collect any personally identifiable information.

Access To Information

The GDPR was established to govern online electronic communications, under the terms of the act you have the right to access information held about you. Access requests are free, in providing you with the information we hold about you, we would require the supply of appropriate evidence of your identity, we will accept a certified copy of your passport, this may be done by a solicitor or bank officer, plus an original utility bill showing your address.  We reserve the right to apply an administration fee of 10.00 for requests that are manifestly unfounded or excessive, particularly if it is a repetitive request. We may withhold personal information to the extent permitted by law.
